F-Gas Leak Check Record

An F-Gas Leak Check Record documents a periodic leak check on refrigeration, air conditioning, heat pump or fire protection equipment containing fluorinated greenhouse gases. Frequently asked questions about F-Gas Leak Check

How often does an F-Gas leak check have to be done?

It depends on the charge, measured in tonnes of CO2 equivalent. At 5 to 50 tonnes it is at least every 12 months, at 50 to 500 at least every 6 months, and at 500 or more at least every 3 months. Fitting a leakage detection system doubles each of those intervals. Below 5 tonnes CO2 equivalent no leak check is required, and hermetically sealed equipment is exempt below 10 tonnes.

What has to be in the record?

Article 6 of the GB F-Gas Regulation requires the type and quantity of gas installed, any quantities added or recovered, whether recovered gas was recycled or reclaimed and by which facility, the identity and certificate number of the company that did the work, and the dates and results of the checks.

How long do the records have to be kept?

At least five years. The duty sits with the operator, and the company that carried out the work must keep its own copy for the same period.

What happens if a leak is found?

The leak must be repaired without undue delay, and the equipment then re-checked by a certified person within one month of the repair to confirm it was effective. That follow-up is a separate visit and a separate record.

Does this apply in Northern Ireland?

This form follows the Great Britain position, which retains Regulation (EU) No 517/2014. Northern Ireland follows the newer EU Regulation 2024/573 under the Windsor Framework, so some requirements differ there.
